Location: Ottawa. Can work from home. Need access to a computer, Internet, and phone.


  • Self-motivated, detail-oriented, energetic, and highly organized
  • Flexible and available for travel around the world
  • Excellent communication and interpersonal skills
  • Must be a team player and capable of leading and managing a team 
  • Have outstanding writing, editing, data entry, and proofreading skills
  • Supply management, travel logistics, scheduling, and presentation skills are an added advantage 
  • Ability to prioritize and handle multiple projects is essential 
  • Knowledge of both French & English is required - an additional language is a plus
  • Must be proficient in Microsoft Office (Word, Excel, PowerPoint) and have working knowledge of other tools, such as SkyDrive
  • At least one year experience in administrative work (receptionist, assistant, data entry)
Job Details:

The Executive Assistant will be expected to complete the following tasks (often on a daily basis):
  • Provide direct administrative support and conserve executive's time by reading, researching and routing correspondence, drafting letters and documents, collecting and analyzing information, initiating telecommunications
  • Maintain executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences and travel while maintaining contact list and calendar
  • Represent the executive by attending meetings in the executive's absence and speaking for the executive
  • Travel with and in the absence of the executive around the world, specifically to Africa
  • Maintain client and executive confidence and protect operations (keeping information confidential)
  • Serve as the primary receptionist (answering and routing incoming calls and greeting, guiding, and assisting visitors)
  • Work from a distance and manage a small team (2-4 people)
  • Order, stock, and distribute office supplies
  • Make photocopies, send faxes, and shred documents
  • Establish and use an appropriate filing system to organize the business
  • Organize and maintain paper and electronic files
  • Prepare and support presentations (to investors and clients)
  • Attend conferences or meetings relevant to the firm's work
  • Attend and assist with community events
  • Run errands and perform miscellaneous job-related duties as assigned
  • Assist with other special projects related to the firm
  • Perform related work as needed
